What You Will Do:

As the IT specialist, you will oversee the day-to-day health and security of WVCW's information systems, providing dependable technical support, safeguarding sensitive data, and ensuring our technology environment evolves alongside organizational needs. You will manage core infrastructure including networks, servers, endpoints, conferencing systems, and telehealth platforms, and help integrate emerging tools such as AI applications in a safe, compliant, and thoughtful way. You will be a key partner in assisting teams to access reliable, secure, and responsive technology to deliver compassionate care.

This position balances independent problem-solving with collaborative engagement. Our IT Specialist reports to the Director of Housing Solutions.

This is an "as needed" position for up to 40 hours on-site. Schedule will be flexible and fluctuate. One day per week required on-site per agreement.

Responsibilities:

Systems and Network Administration

  • Administer, maintain, and troubleshoot physical items like virtual machines, and endpoint devices.
  • Manage internal network operations, including firewalls, VPNs, routers, wireless access points, and backup systems.
  • Monitor system performance and security, proactively addressing risks and vulnerabilities.
  • Perform system backups, data recovery, patch management, and routine software/hardware updates.
  • Maintain and document network, server, and device configurations.
  • Ensure an uninterrupted connection to hosted systems.

Help Desk Support:

  • Provide responsive, courteous help desk support for end-users through a ticketing system, telephone, and direct interaction.
  • Diagnose and resolve hardware, software, network, and access issues across the organization.
  • Maintain records of service requests, resolutions, and recurring issues to inform system improvements.
  • Follow up with end-users to confirm issue resolution and close the loop on all support interactions.

Electronic Health Record (EHR) Support:

  • Support implementation, optimization, and troubleshooting of the agency's EHR and related clinical systems. e.g., MFA Citrix, Topaz, FTP Server, etc.
  • Maintain equipment, hardware and software to meet ongoing EHR specifications and recommendations
  • Coordinate with vendors to ensure secure integration and maintenance of EHR functionality and upgrades.
  • Coordinate with ESA regarding any IT related open tickets with the Electronic Health Record (EHR) provider

Telecommunications, Conferencing, and Telehealth Systems:

  • Manage VoIP phone systems, video conferencing tools, and telehealth platforms to ensure seamless communication for internal teams and client services.
  • Support the setup, maintenance, and troubleshooting of media and teleconferencing equipment.
  • Collaborate with outside vendors and contractors to maintain conferencing systems and ensure long-term reliability.

Cybersecurity and Compliance:

  • Implement, monitor, and update cybersecurity protections aligned with HIPAA Security Rule standards and agency policies.
  • Manage user accounts, permissions, and Multi-Factor Authentication (MFA) systems.
  • Participate in incident response planning, risk assessments, and compliance audits.
  • Train staff at minimum quarterly in best practices for cybersecurity awareness and data protection.
  • Review and manage Google Workspace security settings and user access to safeguard sensitive information.
  • Ensure compliance with HIPAA Hitech, including but not limited to, policy revisions, downtime testing and risk assessments.

Policy and Procedure Development:

  • Actively participate in drafting, reviewing, and updating IT policies and procedures to align with evolving security standards, legal requirements, and best practices.
  • Collaborate with leadership and program teams to ensure policies support agency-wide operations and client care.

Equipment Management and Deployment:

  • Maintain an accurate inventory of all IT assets, including laptops, desktops, mobile devices, networking equipment, and peripherals.
  • Manage the imaging, configuration, setup, and deployment of all user equipment to ensure consistent security and functionality standards.
  • Provide staff with introductions and training on new equipment during deployment to ensure proper use and adoption.
  • Perform lifecycle management for hardware including repairs, replacements, upgrades, and secure disposal.

Emerging Technology Integration:

  • Evaluate, implement, and manage new tools and resources - including AI-assisted applications - ensuring they align with organizational security, privacy, and ethical standards.
  • Stay informed about technology trends, cyber threats, and best practices to be as prepared as possible for future technology. Provide updates to relevant leadership and programs.

Other Duties:

  • Participate in IT projects and initiatives to improve system efficiency, security, and user experience.
  • Perform other duties as assigned to support the mission and operational excellence of WVCW.

Skills/Abilities:

  • Ability to maintain confidentiality and comply with HIPAA and other privacy regulations.
  • Strong analytical and troubleshooting skills across a wide range of technical issues.
  • Ability to work independently, prioritize multiple demands, and solve problems with minimal supervision.
  • Excellent verbal and written communication skills; able to explain technical issues clearly to non-technical users.
  • Strong organizational and documentation skills with attention to detail.
  • Service-oriented mindset with patience, cultural responsiveness, and a commitment to equity and inclusion.
  • Resilience and composure under pressure, particularly during system outages or critical incidents.

Knowledge and Qualifications:

  • Bachelor's degree in Information Technology, Computer Science, Cybersecurity, or related field, OR equivalent combination of education, certifications, and work experience.
  • Minimum of 4-6 years of progressive experience in IT administration, including systems, networks, and help desk support.
  • Experience supporting EHR systems or healthcare technology environments preferred.
  • Proficiency with Google Workspace (G-Suite), Windows and Mac operating systems, Microsoft Office, endpoint protection tools, and MDM systems.
  • Experience with cybersecurity principles including MFA, encryption, patching, and threat detection.
